How to use conditional formatting

You can have a cell let you know if the data is within a certain range by using color. For example, lets say you have a spreadsheet of grades. Below can be the colors for each grade.

  • 90 to 100 is an A and the text will be green.
  • 80 to 90 is a B and the text will be blue.
  • 70 to 80 is a C and the text will be purple.
  • 60 to 70 is a D and the text will be brown.
  • Anything under 60 is an F and the text will be red.

When you open the spreadsheet you will automatically know what category the grades fall into just by the indication of the color.

To set up conditional formatting, do the following.

  1. Click on Format
  2. Click on Conditional Formatting
  3. Designate whether the condition is on cell value or formula
  4. The set the boundaries of the conditional formatting.
  5. Set the font, size and color if it falls in the boundary of the condition.
  6. You can set up to three conditions.
  7. To add another condition, click on add.
  8. Click on OK when done.
